Itinerary General Information Checklist

The Victoria Days trip for the 2009 school year will take place May 16 - 18, 2009.

Dear KR Music Students and Parents,

One of the highlights of this year’s KR Band Department activities calendar is the 3-day trip to Victoria, B.C., to participate in the Victoria Day Parade and related activities in that beautiful city.
 
Here’s a brief overview of the trip:

Saturday, May 16- Travel day! We’ll depart KRHS at approximately 9:00 AM, travel to Vancouver to catch the Tsawwassen ferry, arrive in Victoria with enough time to introduce ourselves to this beautiful little city, and check in to our motel.

Sunday, May17- Victoria sightseeing, performances by both band and jazz band  at various venues in town, spend night in motel.

Monday, May 18- Check out, participate in Victoria Day Parade, take ferry back to mainland, travel home. Arrive home mid-evening.

The cost per student is estimated below:

Prepaid costs include charter bus ($105), two nights in motel ($70 quad occupancy), and ferry charges ($55) for a total of $230.  If you choose to make two payments ($115 and $115), the 1st will be due on Friday, April 3 and the balance on Friday, May 1. Notify your director immediately if fund raising money is to be used for these payments.  Checks should be made payable to “KRHS”, placed in an envelope labeled “Victoria”, and given to Mr. Baldock.  Additionally, students will be responsible for meal and snack money, souvenirs, and admission to any venue that requires a fee (i.e. Provincial Museum, Ripley’s Believe It Or Not, Wax Museum, etc.).
We are going to a country that requires specific documentation when crossing the border.  The director must have the following documents in his possession at the time of the border crossing:

1. Field Trip Form - distributed Monday, March 30 (or sooner), completed and signed by Friday, April 3.
2. Certification of citizenship or documentation of legal residence in the United States. 

This may take one of the three following forms:                                                                     
a. Current passport – This should be IN THE POSSESSION of the student as we cross the border (not under the bus!).  Please provide a copy of the “picture” page to your director by April 25.                  

b. A certified birth certificate (not a facsimile).  
Birth certificates will be returned to students immediately after the trip.                                                                           
c. If not a US citizen, please provide documentation of legal residence (Green Card, etc.)

3. Parent Permission Form giving KRHS and director the authority to transport students across the border. 
This form must be notarized!  This form will be distributed on Thursday, March 5, 2009 (or sooner).

4. If you need to take medications

A list of participating students will be submitted to the school nurse who will inform the directors of students with more serious health issues.
We are required to document the contents of every instrument case (make and serial number, i.e. – flute, Yamaha, YFL 654321).  Mr. Baldock will be collecting that information.

A final information letter will be provided two weeks before the trip that will include: 

- detailed itinerary                                                                      
- chaperone list                                                                                                  
- behavior expectations                                                                                              
- emergency contact information                                                                                 
- check list for what to bring                                                                                                   
- recommendation for Canadian currency issues                                                       
- performance attire                                                                                                  
- “stay safe” requirements while sightseeing                                                              
- anything else we can think of!

If you are interested in being a chaperone (it’s fun!!), please notify Mr. Baldock, and participate in the payment program along with the students.

 A chaperone meeting will be held approximately 10 days before the trip, at which time a detailed and organized plan of action will be shared.
